Looking for your Office product key and can’t find it, or you have one and Office won’t accept it? This guide explains what the activation code actually is, where to find it depending on how you bought Office, and how to enter it in Office 2016, 2019, 2021 and 2024, with fixes for the most common errors.

In short

  • An Office product key has 25 characters: XXXXX-XXXXX-XXXXX-XXXXX-XXXXX.
  • If you bought it online, it’s in your order email. If it came in a box, it’s on the card inside.
  • You enter it in Word → File → Account → Change Product Key (or when you first open Office).
  • The most common error: the key doesn’t match the installed version. Office 2024 Professional Plus needs the Professional Plus installation, not Microsoft 365.

1. What an Office product key is

The product key (also called the activation code) proves to Microsoft that you own a licence for that version of Office. It always looks like this:

XXXXX-XXXXX-XXXXX-XXXXX-XXXXX (25 letters and numbers in 5 groups)

Each key is for one specific version (for example Office 2024 Professional Plus) and a set number of PCs. An Office 2021 key won’t activate Office 2024, and vice versa.

What about the “free” keys online?

Free key lists are blocked keys, generic keys that don’t activate anything, or keys already used by thousands of people. At best they don’t work; at worst, the site posting them tries to slip you an “activator” loaded with malware.

3. How to enter the key step by step

Office 2024, 2021, 2019 and 2016 Professional Plus

  1. If the PC has another version of Office or the Microsoft 365 trial, uninstall it first from Settings → Apps.
  2. Download and install the right version from our download links page.
  3. Open Word. If the activation window appears, choose Enter product key.
  4. If it doesn’t, go to File → Account → Change Product Key.
  5. Paste the key and confirm. File → Account should now say “Product Activated”.

Office Home & Business or Home (retail version)

These versions are redeemed once on Microsoft’s site (setup.office.com) by signing in with your Microsoft account. You then download Office from your account and it activates when you sign in.

Frequently asked questions

Can I see the key of an installed Office?

Only partly: in Command Prompt, the ospp.vbs /dstatus script shows the last 5 characters of the installed key. It tells you which key the PC uses, but can’t recover the full key.

Can I use the same key on two PCs?

Only if the licence is for 2 or more PCs. A 1-PC licence activates on one computer.

Do I need internet to activate?

For online activation, yes. Without a connection you can use phone activation.
