What is a CAL and why do I need one?
A Client Access License is the licence that authorises a user or device to access Windows Server services (file, print, Active Directory, applications). The Standard and Datacenter editions require one for every user or device: it’s a Microsoft licensing condition, not an option.
User CAL or Device CAL: which should I choose?
A User CAL is assigned to a person and covers all their devices; a Device CAL is assigned to a device and covers all the users who use it. Choose User CALs if each user works from several devices; choose Device CALs if several people take turns on the same PCs (shifts, production departments).
Do CALs need to be activated with a key?
No. Windows Server CALs have no product key to enter: they are a documented right of use. You receive the licence document by email, keep it with your invoice and you’re compliant.
Are they also valid for Windows Server 2019 or 2016?
Yes. Windows Server 2022 CALs give access to servers running the same or an earlier version (2019, 2016, 2012 R2). They are not valid for later versions.
Do they include Remote Desktop access?
No. Remote Desktop (RDS) sessions require RDS CALs, which are a separate licence. Windows Server CALs cover access to the server’s standard services.
